Communication
Excellent communication between parents and teachers is the key to understanding and facilitating the development of your child’s needs. Your participation in your child’s education is invaluable.
This page details the different electronic communication methods KingsWay uses to connect with parents. All important information is sent to parents via the school newsletter (once a week on Fridays) and the school app.
KingsWay School has a Mobile App for notices, events and other important school messages. It can also be used to easily record your child’s absence from your phone or device.
To download the app for free on iPhone or Android:
- First select the School Apps NZ app which can be downloaded from the Google Play Store or the Apple App Store. Once downloaded, select KingsWay School. From now on, the app will automatically open the KingsWay School platform on your phone.
- NOTE: Once our school app has been set up on your device, make sure you select which Alert Subscriptions you want to receive notices from within the app. See the image below:
- For more information about our school app and its various functions, please watch this parent information video tutorial for our School App.
This is a weekly distribution of notices sent from the Primary School, Middle Years and Senior School to all parents.
If you are a parent or guardian at the school and you are not receiving the newsletter, please email [email protected] so we can add you to the mailing list.
You can unsubscribe if you no longer have children at KingsWay School and would prefer not to receive these emails.
KingsWay School’s online Parent Portal enables parents and caregivers to log in and view live data of their child’s attendance, timetable, results, groups/teams, and most fees (paid and owed). They can also view the school’s daily notices, calendar, and contact details and download PDF copies of their child’s reports.
Please CLICK HERE to read more about this useful tool for parents.
This is where parents make bookings for Parent Teacher Interviews.
Login details are sent to parents a week prior to the scheduled Parent Teacher Interview session for that particular year level.
This online magazine is distributed to each KingsWay School family in Terms 1,2 and 3.
The magazine highlights significant community information, details celebrations of KingsWay School events and has important reminders of events to come.
The latest Connect Magazine will be emailed to all parents and uploaded to the Home Page of the website under ‘Latest Publication’.
KingsWay School has an official Facebook page.
Photographs taken at school events are regularly uploaded.

As well our main Facebook page, we also have a KingsWay Sport Facebook page where sporting highlights are posted regularly:
KingsWay School SPORT Facebook Page
The goal of this private Facebook group is to connect KingsWay families and provide a forum for parents to ask questions, sell second-hand uniforms and share positive news. This group is to be used in conjunction with the KingsWay Facebook page. This is a positive and encouraging community.
PLEASE NOTE: This is a PRIVATE Facebook group. Parents are encouraged to request to join this group via their personal Facebook page.
To make sure we keep this group ONLY for KingsWay parents/caregivers, details must be given on your children’s attendance at the school (a question will be asked via the Facebook page after requesting to join). The adminstration staff will check your details and accept your request once these details have been given.
If you have recently asked to join the KingsWay Connect Group but you are still waiting to be accepted, please check your Facebook notifications to make sure you have answered the question asked regarding your children at KingsWay School.

At KingsWay, we believe in celebrating our achievements and keeping our community informed about important upcoming events. While many of our students prefer to use Instagram over Facebook, we understand the importance of reaching all generations on social media. To ensure that everyone stays updated, we have created an official Instagram page for KingsWay School which often features the same posts as our Facebook page.

Large-sized videos of events at school are uploaded to our YouTube page.

At KingsWay School, we highly value communication as it helps our community work well together. Parent partnership is one of our foundation stones, and maintaining open and honest communication is paramount to achieving this goal. As staff, we strive to return correspondence within 24 hours between 8:30 am and 5:00 pm.
Below is some key information to support communication at KingsWay.
- Primary School Newsletter: Every Friday, you will receive a Primary School Newsletter by email. The newsletter includes year-level links with information specific to your child’s year level. This is our most important form of communication, and it is vital that you read it each week.
- Permission Forms: All permission forms will be included in the weekly newsletters. Please complete these promptly.
- Teacher Correspondence: Your child’s classroom teacher is the first point of contact. Wherever possible, use email to correspond with the classroom teacher.
- Student Phone Calls: Students are not permitted to make phone calls home. Urgent matters will be handled by our Administration staff. Please ensure that parent contact details are kept updated.
- Appointments: Parents are required to email reception AND their child’s teacher if your student has an appointment during school time or needs to be withdrawn from school early.
- Teacher Meetings: If you wish to see a teacher, please make an appointment by emailing the teacher involved and agreeing on a mutually acceptable time.
The following reporting cycle is followed:
- End of Term 1: Parent/teacher conferences
- End of Term 2: Formal written reports
- Term 3: Parent/teacher and student conferences
- Term 4: Formal written reports
The first point of contact should always be the class teacher on matters of curriculum, behaviour, and pastoral care. Please avoid surprising teachers with unscheduled meetings in the morning. An appointment that enables a teacher to be prepared will contribute to a favourable outcome for all.
Appointments can be made via email to the teacher concerned.
Our Staff
Parent/Teacher Conferences may be requested at any point during the year and can be arranged directly with the teacher. Formal Parent/Teacher Conferences are held twice throughout the year: at the end of Term 1 and at the beginning of Term 3. All parents receive a password to access the PTO (Parent Teacher Online) site to book appointment times.
Parents are asked not to visit studios unannounced during the school day. If a parent needs to deliver a message to their child, please go through Primary Administration. If a parent is assisting in a primary classroom, they are asked to sign in at Primary Administration and get a visitor’s pass prior to entering.
We value parent partnership, therefore we use a number of strategies which enable effective communication about all aspects of school life pertaining to your child. These include information about learning, events, parent meetings or any other matters that may arise. These include:
Newsletters
This is a weekly distribution of notices which includes specific class notices and Full School notices that all parents are expected to read.
If you are a parent or guardian at the school and you are not receiving the newsletter, please email [email protected] so we can add you to the mailing list.
You can unsubscribe if you no longer have children at KingsWay School and would prefer not to receive these emails.
Reporting to Parents
The following reporting cycle is followed:
- End of Term 1 – Parent/Teacher Conferences
- End of Term 2 – Mid-Year Reports Issued
- Term 3 – Parent/Teacher Conferences
- Term 4 – End of Year Reports Issued
Your child’s Homeroom teacher is the first port of call.
Unfortunately we cannot do impromptu meetings before school as our students need us but will meet with you during non-contacts and after school by prior appointment only.
Wherever possible, use email to correspond with the Homeroom teacher. All staff at KingsWay School have the same format for their email addresses: [email protected]
If the issue is more serious you would be referred to the Head of Learning for your child’s year group.
From here a Dean may be involved or a Senior Management Team member. An appointment can be organised by emailing the teacher to make a mutually agreeable time.
We endeavour to return correspondence within 24 hours but teachers are only expected to answer school emails between 8.30 am and 5pm. If we have not responded within this timeframe, please use a different means to communicate with us.
Our Staff
Our school strongly encourages the active involvement of all parents in school activities. This includes visits during the school day. However, common courtesy, the need to preserve classroom learning atmospheres and our commitment to ensuring the safety of all our children, requires that ALL VISITING ADULTS MUST CHECK IN WITH THE OFFICE before going to any classroom or to the playground.
Parents or any other adults (e.g. grandparents, family members) wanting to see or pick up a child during school hours MUST consult the teacher and sign in at reception first.
There are a number of strategies which we use to promote effective communication about school or studio events, parent meetings, class matters, individual performance or any other matters that may arise.
Parent/Teacher Interviews
Parent-teacher interviews are held in Term 1 and Term 3. They give parents the opportunity to speak with teachers regarding student progress.
Appointments are set up through the online programme PTO (Parent Teachers Online). More information is sent home closer to the occasion.
Parents are also welcome to discuss their child’s progress with teachers at any point in the year. Appointments can be made directly with teachers at mutually convenient times.
The form class teacher or the subject teacher should be the first port of call.
Unfortunately, we cannot have impromptu meetings before school as our students need us. However, we will meet with you during non-contacts and after school by prior appointment only.
Wherever possible, use email to correspond with the form class teacher. All staff at KingsWay School have the same format for their email addresses: [email protected] An appointment can be organised by emailing the teacher to make a mutually agreeable time if a meeting is required.
If the issue is more serious you would be referred to the relevant Head of Faculty or Dean. If it is still not resolved, a Senior Management Team member would become involved.
We endeavour to return correspondence within 24 hours but teachers are only expected to answer school emails between 8.30 am and 5pm. If we have not responded within this timeframe, please use a different means to communicate with us.
